Every Unit Has a Serial Number. Now Every Quote, Order, and Return Does Too.

Precidia Technologies, a hardware vendor, needed a CRM that could track every individual unit it sells, by MAC ID, from the first quote through shipment and, if necessary, a return. Vertekx customized SugarCRM into a complete quoting, order processing, and invoicing system built around that requirement.

The Challenge

Per-unit tracking a standard CRM can't do

As a hardware vendor, Precidia needed every unit it shipped tracked properly and kept accessible across its whole sales process, not just at the point of sale. A single quote could include dozens of units, each with its own MAC ID.

That level of detail had to carry through order processing, invoicing, shipment, and any eventual return, something a standard CRM has no native concept of, along with no built-in RMA workflow and no distinction between the one-time and recurring orders Precidia manages in parallel.

Units tracked by MAC IDIndividual units needed tracking by MAC ID from quote through shipment, with no built-in way to do it.
Returns without a workflowRMAs had no structured process tied back to the original order.
Two order types, one systemOne-time and recurring orders had to live together without one process getting in the other's way.
A document for every stepQuotes, invoices, packing lists, and RMAs each needed their own correctly formatted layout.
The Solution

Built around the product, not a generic pipeline

Custom modules track hardware at the individual-unit level and generate every document a hardware order needs, all from the same original quote.

MAC ID from quote to deliveryCustom Products and Line Items modules track units at the MAC ID level, tied directly into Precidia's NetVu shipment system so a unit stays traceable end to end.
Documents straight from QuotesThe Quotes module profiles by customer and generates Invoice, Packing List, and RMA records directly, each with its own custom PDF layout.
Returns on the same tracked pathRMA is fully built into the Order Processing workflow, so a return follows the same tracked route as a new order.
Both order types, nativelyOne-time and recurring orders are maintained side by side in the same system, with historical data migrated from the old one.
The Results

One system, from quote to return

QuoteEvery unit added by MAC ID
InvoiceGenerated straight from the quote
ShipTracked through NetVu to delivery
RMAReturns on the very same record

One connected record, from the first quote to a return, with every unit's MAC ID intact at each step.

One place, one source record. A single system now carries a hardware order from quote to invoice to shipment, and back through an RMA if needed, with every individual unit's MAC ID traceable at each step. What used to require separate tracking across quoting, shipping, and returns now lives in one place, generated from the same original quote.
